Email templates for buyer clients (and when to drop them)
The right email at the right moment keeps a deal alive. Here are four templates to adapt, and a way to cut emails without losing the follow-up.
First contact: confirm you listened
Subject: Your search, next steps. «Hi [name], thanks for the chat. Here is what I understood: [layout], area [areas], budget up to [amount], must-have [criterion]. I will send you matching listings. Tell me if anything is missing.»
This email shows you listened and puts the criteria in writing. It is the foundation of all follow-up.
Listing proposal: give context, not just a link
Do not send only a link. «I found this [layout] in [area], within budget. Strong points for you: [two criteria]. One thing to note: [one]. Want to view it?» The client decides faster when the listing arrives already assessed.
A proposal with analysis beats ten raw links.
Post-viewing: capture the reaction while fresh
«Thanks for today's viewing. What stood out, good and less good? Your reaction helps me sharpen the next proposals.» The post-viewing reaction is the most valuable information, and the most quickly lost.
Ask for a simple rating and a short comment. No need for a report.
When email no longer cuts it
Email is great for a one-off contact, but poor for following a deal: replies scatter, attachments get lost, no one sees the whole. Past a point, a shared space where the client sees the listings, reacts and talks to you replaces ten email threads.
The rule: email to start, a shared space to follow up.
