How to follow up with buyer clients without being pushy

Most deals are lost not for lack of listings, but for lack of follow-up at the right moment. The agent who closes is the one who keeps the rhythm without smothering the client. Here is how.

Why deals go cold

A buyer rarely says they give up. They simply stop replying, look elsewhere, or move ahead with another agent who showed up at the right time. Silence is not disinterest: it is usually the absence of a clear next step.

Follow-up exists to offer that next step before the client goes looking for it somewhere else.

The signal to watch: time since last contact

The simplest and most ignored indicator is the number of days since the last interaction. Set yourself a limit, say five days, and have a way to see at a glance which clients have crossed it.

Do not rely on memory. In a day full of viewings and calls, it is the quiet client, not the loud one, who slips away.

Give context, not pressure

«Any news?» helps no one. «A three-bedroom just came up in your area, within budget, want to see the photos?» gives a real reason to reply. Good follow-up always brings something: a listing, an analysis, an answer to an earlier question.

When you record each client's reactions, you know exactly what to propose next, and follow-up stops being generic.

Automate the repetitive, personalise the rest

Some nudges can be automatic: a reminder when a file goes quiet, an alert for a new listing that matches the criteria. That frees you for what only the agent does well: the right call, with the right information.

The goal is not to contact more, but to contact better and at the right time.

Simple rule: no active file should go more than five days without a defined next step. If it does, that is a warning sign, not calm.
