How to organize viewings with your buyer clients
The viewing is the most expensive moment of the process: your time, the client's and the seller's. Organizing it well, and above all using what it reveals, separates the agent who shows homes from the one who closes.
Prepare the viewing, do not improvise
Before booking, confirm the property matches the client's criteria: layout, budget, area, must-haves. A viewing of a property that does not fit burns trust and time.
Arrive with the strong points and the things to watch already identified. The client feels the difference between an agent who knows the property and one who discovers it with them.
Schedule without the message ping-pong
Propose a slot, wait, propose again: scheduling loses days. Offer a precise time and let the client confirm in one tap. The less friction, the more viewings happen.
Syncing viewings with your calendar avoids clashes and missed appointments.
Capture the reaction while fresh
The most valuable information appears in the minutes after the viewing. Ask for a simple reaction: revisit, interested, no thanks, with a rating and a comment. In a couple, capture each person's reaction.
A couple's disagreements, visible right after the viewing, tell you what to show next better than any guess.
Turn the reaction into a next step
A viewing with no next step is a half-lost opportunity. Good reaction: move toward an offer. Lukewarm: adjust the criteria. No reply: a short, concrete follow-up.
The goal is never just to show the home, it is to know what to do next.
